AliBikes is a mobile bicycle repair business based in Keynsham, BS31. This privacy policy explains what personal information I collect, why I use it, how long I keep it, and what your rights are.

Who is responsible for your information

AliBikes is run as a sole trader business. For data protection purposes, AliBikes is the data controller for the personal information collected and used in connection with enquiries, bookings, repairs and related business administration.

What information I collect

I may collect and use the following information:

- address or collection/repair location, where needed for mobile repair work;
- details of your bike, e-bike or other cycle-related item;
- details of the work requested, quoted for, completed or declined;
- messages, booking notes, invoices, receipts and payment records;
- photographs of your bike or parts of your bike where useful for quoting, repair records, warranty, parts identification, proof of condition or general business records.

I do not intentionally collect special category information such as health, religion, political views or similar sensitive personal information.

Why I use your information

I use personal information to:

- respond to enquiries;
- arrange bookings, collections and returns;
- inspect, quote for, repair and service bikes;
- order or identify parts;
- provide invoices, receipts and repair records;
- deal with follow-up questions, warranty issues, rework or complaints;
- keep business, tax and accounting records;
- protect AliBikes against fraud, disputes or legal claims;
- improve the way the business is run.

Lawful basis for using your information

Under UK data protection law, I use your information only where there is a lawful reason to do so. The main lawful bases are:

- Contract: to provide quotes, bookings, repairs, servicing and related customer support.
- Legal obligation: to keep accounting, tax and business records where required by law.
- Legitimate interests: to run and protect the business, keep repair records, respond to customers, manage disputes, improve services and maintain a practical work history.

I do not sell your personal information.

Marketing

AliBikes does not use customer contact details for general email or SMS marketing unless you have clearly agreed to this. I may contact you about an enquiry, booking, quote, repair, invoice, follow-up issue or another matter directly connected to work you have asked AliBikes to carry out.

Bike photographs and social media

AliBikes may occasionally take and use photographs of bikes, components or repair work for business records, examples of work, the AliBikes website, Facebook, Instagram or other business pages.

Where photographs are used publicly, AliBikes aims to avoid showing personal information. This means no customer names, addresses, phone numbers, faces, house numbers, number plates or other obvious identifying details should be included.

Anonymous photographs of bikes or bike parts may be used without asking for separate consent where they do not identify a customer. If a photograph includes personal information or could clearly identify a person, AliBikes will either avoid using it publicly, crop or edit it, or ask for permission where appropriate.

Who I share information with

I only share personal information where necessary and appropriate. This may include:

- parts suppliers or manufacturers where needed for ordering, warranty or technical support;
- payment, accounting, email, website, booking or cloud storage providers used to run the business;
- professional advisers such as an accountant, insurer or legal adviser;
- HMRC, regulators, law enforcement or other authorities where legally required;
- another repairer, supplier or specialist only where needed to complete or support work for you.

I do not sell customer data to third parties.

How information is stored

Customer and repair information is stored electronically and/or in normal business records. AliBikes uses reasonable security measures to protect personal information, including secure devices, account protection and sensible access controls. As a sole trader business, access to customer information is kept limited to what is needed to run AliBikes.

How long I keep information

I keep personal information only for as long as reasonably needed. Typical retention periods are:

- enquiry messages that do not lead to work: usually up to 12 months;
- quotes, repair notes, booking details and customer job records: usually up to 6 years after the last relevant job or contact;
- invoices, receipts and accounting records: usually 6 years, or longer if required by law;
- photos used only for short-term quoting or repair assessment: deleted when no longer needed;
- anonymous work photos used for portfolio, website or social media purposes: may be kept for as long as they remain useful to the business, provided they do not identify a customer.

Some information may be kept longer if needed for legal, insurance, accounting, warranty, dispute or safety reasons.

Cookies and website data

The AliBikes website may use cookies or similar technologies provided by the website platform or third-party tools. These may help the website work properly, understand basic website performance, remember preferences or support contact forms and security features.
